Project Flow Technologies, LLC (“ProjectFlowLive,” “we,” “us,” or “our”) operates the ProjectFlowLive construction management platform at projectflowlive.com. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform and any connected third-party integrations, including LinkedIn, Google Contacts, Microsoft Outlook, and iCloud.

By using ProjectFlowLive, you agree to the practices described in this policy.

2. Information We Collect

2.1 Information You Provide Directly

  • Account registration data: name, email address, company name, job title, phone number
  • Project data: construction schedules, daily reports, photos, documents, pay items
  • CRM data: contacts you import or create, including names, emails, phone numbers, and company affiliations
  • Billing information: processed securely through Stripe; we do not store full payment card numbers
  • Communications: messages, notes, and correspondence entered into the platform

2.2 Information Collected Automatically

  • Log data: IP address, browser type, pages visited, timestamps, and referring URLs
  • Device information: hardware model, operating system, and unique device identifiers
  • Usage data: features used, actions taken, session duration, and error logs
  • Cookies and session tokens for authentication and platform functionality

2.3 Information From Third-Party Integrations

When you connect third-party accounts, we collect only the data necessary for the integration you authorize:

3. LinkedIn API — Specific Disclosures

ProjectFlowLive uses the LinkedIn API to enable content publishing and performance analytics. In compliance with LinkedIn’s API Terms of Service:

  • Basic profile information (name, headline) for account identification
  • LinkedIn Pages you manage, for business content publishing
  • Post engagement metrics (impressions, likes, comments, shares) for analytics

How We Use LinkedIn Data

  • To publish content only when you explicitly initiate or schedule a post
  • To display post performance data within the Content Studio
  • We do not use LinkedIn data to train AI models
  • We do not sell or share LinkedIn data with third parties
  • We do not use LinkedIn data for advertising or retargeting purposes

Data Retention

  • Post performance metrics are retained for up to 24 months or until account deletion
  • LinkedIn access tokens are encrypted at rest and refreshed automatically
  • You may disconnect LinkedIn at any time from Settings > Integrations, which immediately revokes our access

4. How We Use Your Information

  • Provide, operate, and maintain the ProjectFlowLive platform
  • Process transactions and send billing-related communications
  • Enable third-party integrations you authorize
  • Generate AI-assisted content drafts, lead scoring, and compliance analysis
  • Send project notifications, alerts, and platform updates
  • Improve platform features and troubleshoot issues
  • Comply with legal obligations including Illinois DOT and federal contractor requirements
  • Enforce our Terms of Service and protect against fraud or abuse

5. Data Sharing and Disclosure

We do not sell your personal information. We share your information only in the following limited circumstances:

Service Providers: We work with trusted vendors who process data on our behalf under strict data processing agreements, including Amazon Web Services (infrastructure), Stripe (payments), and integration partners only as directed by your authorizations.

Legal Requirements: We may disclose information if required by law, subpoena, court order, or government request, including compliance with Illinois DOT contractor regulations.

Business Transfers: In the event of a merger, acquisition, or asset sale, your information may be transferred as part of that transaction with prior notice to you.

6. Data Security

We implement industry-standard security to protect your information:

  • All data transmitted over HTTPS/TLS encryption
  • Database encryption at rest via AWS RDS
  • Row-Level Security (RLS) ensuring complete multi-tenant data isolation
  • Access tokens and credentials stored encrypted
  • Employee access to customer data limited on a strict need-to-know basis

No method of electronic storage is 100% secure. While we implement strong protections, we cannot guarantee absolute security.

7. Data Retention

  • Active account data is retained for the duration of your subscription
  • After cancellation, data is retained for 90 days before permanent deletion
  • You may request immediate deletion by contacting privacy@projectflowlive.com
  • Backup copies may persist for up to 30 days following deletion requests
  • Anonymized, aggregated usage statistics may be retained indefinitely

8. Your Rights and Choices

Access and Portability: You may request a copy of all personal data we hold about you. We will respond within 30 days.

Correction: You may update your account information at any time through platform settings.

Deletion: To delete your account and associated data, contact privacy@projectflowlive.com or use the account deletion option in Settings.

Integration Disconnection: You may disconnect any third-party integration at any time from Settings > Integrations. Disconnection immediately revokes our access to that platform’s data.

Opt-Out of Communications: You may opt out of non-essential communications via the unsubscribe link in any email or through notification settings in the platform.

9. Cookies

We use cookies and similar technologies for:

  • Essential cookies: Authentication, session management, security (cannot be disabled)
  • Analytics cookies: Usage patterns and feature performance (can be disabled)

You may control cookies through your browser settings. Disabling essential cookies will impair platform functionality.

10. Children’s Privacy

ProjectFlowLive is designed for construction industry professionals and is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe we have inadvertently collected such information, contact us immediately at privacy@projectflowlive.com.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by:

  • Posting the updated policy at projectflowlive.com/privacy
  • Sending an email notification to the address associated with your account
  • Displaying an in-platform notice

Your continued use of the platform after changes take effect constitutes acceptance of the updated policy.
