The bid board — finding and bidding on work as a contractor
Buyers on ProjectFlowLive can list a request for proposal (RFP) on the bid board. As a registered Bidding Member you can browse those listings, enter the ones you want, download the bid package once admitted, and submit your bid — all in one place, free.
Register
Go to /bid/register. You give your name, email, phone, business name, trade, confirm you are not a robot, and set a password. That creates your free account. If a buyer sent you a link that starts with /bid/, open it first — after you register you land straight on that RFP.
Browse and enter
Open RFPs lists every RFP buyers have listed: title, buyer, site, bids-due date, whether bids are sealed, trades. Filter by trade. Bid on this enters an RFP; you confirm your business name, phone and trade so the buyer knows who is asking.
- If the buyer admits each bidder, your entry is a request. You are emailed when the buyer admits you, with the link to your package.
- If the buyer admits any registered member, you are admitted at once and the package link is emailed to you.
You can enter at most ten RFPs in ten minutes, and never your own company's.
My bids
My bids shows each RFP you entered, the buyer's decision, the due date, and — once admitted — Open package & submit. That opens your private portal: download the package (and any addenda), upload your bid. Your upload is stamped with the time and the package version; after the due date it is still received and marked late, never refused. If you upload twice, the newest is your bid.
Your format, or the platform's bid form
You can always bid in your own format: upload a PDF, Excel or Word file on the portal, or attach it to a reply to the invitation email. Or use Download bid form (Excel) on the portal — a workbook with the buyer's schedule (unit prices to fill in, extended amounts and total computed) or, when the buyer published no schedule, an open itemised sheet. Fill it, save it, upload it: your prices and total are read from the form exactly as you saved them.
Pricing the bid schedule
When the buyer has published a bid schedule, your portal shows it under Price the bid schedule: a unit price for each item, an optional note per item, and a box for your inclusions, exclusions and clarifications. The extended amounts and total are computed as you type; every item needs a price before you can submit. Submit priced schedule records your bid with the time and the package version. Submitting again replaces your earlier prices (the earlier submission stays on the buyer's record as superseded). The due date, late, and the seal apply to a priced schedule exactly as to a file.
You can still upload a bid file as well, or instead — the buyer can type the prices from your file into their comparison, marked as keyed by them.
Asking questions
Use Questions on the portal, or reply to the invitation email. Your question is recorded on the RFP and the buyer is told. The buyer's answer comes back on the portal (and by email); answers the buyer publishes are shown to every bidder, and no bidder is ever named to another. A bid attached to a reply email is received as your bid.
What the buyer sees, and what you never see
The buyer sees your name, business, trade, phone, email, and your bid with its time. You never see other bidders, other bids, the buyer's other RFPs, or the buyer's projects. If the RFP is sealed, the buyer cannot read any bid until the due date; if it is not sealed, the buyer can read bids as they arrive — the listing says which.
Records
Your entries and bids are records on the buyer's RFP. Listings begin September 10, 2026, the day the board opened.
